TLDR

Most wedding app comparisons rank tools by feature count. That tells you nothing about whether the tool will actually help you plan a wedding without overspending. This scorecard evaluates planning apps on six categories that directly affect your budget, vendor decisions, and sanity.

How to Use This Scorecard

Rate each wedding planning app on the six categories below. Score each category from 1 (poor) to 5 (excellent) using the specific criteria listed. Total the scores for a side-by-side comparison.

This is not about which app has the most features. It is about which app helps you make better decisions about your wedding. An app with 50 features that steers you toward paid vendor placements is worse than an app with 10 features that shows you accurate numbers.

The six categories:

  1. Budget Tracking Quality (weight: high)
  2. Guest List Management (weight: medium)
  3. Vendor Directory Neutrality (weight: high)
  4. Seating and Logistics (weight: medium)
  5. Pricing Model and Value (weight: high)
  6. Data Ownership and Portability (weight: medium)

Why these six and not others? Because these are the categories where apps differ the most, and where the differences actually affect your wedding outcomes. Every app has a photo gallery feature. Not every app gives you honest budget data.

Category 1: Budget Tracking Quality

This is the single most important feature in a wedding planning tool. If the budget tracker does not work well, you need a separate spreadsheet, and the app has failed its primary job.

Score 5 if the app:

  • Tracks estimated cost, quoted cost, and final paid cost separately for each vendor
  • Includes all standard wedding categories pre-loaded (venue, catering, photography, etc.) plus the commonly missed ones (gratuities, transportation, insurance, overtime fees)
  • Shows running totals and remaining budget in real time
  • Tracks deposits paid, balances due, and payment deadlines
  • Allows custom categories for non-standard expenses

Score 3 if the app:

  • Has a basic budget feature but only tracks one number per vendor (estimated or paid, not both)
  • Includes major categories but misses smaller ones
  • Does not track payment schedules or deposit dates
  • Works for overall budget monitoring but does not help with cash flow timing

Score 1 if the app:

  • Has a “budget” section that is really just a list with no calculations
  • Does not separate estimates from actuals
  • Omits critical categories (gratuities, overtime, service charges)
  • You will need a separate spreadsheet within a week of using it

Questions to test this category:

  • Can you enter a vendor quote and then update it with the actual final cost?
  • Does the app remind you when a payment is due?
  • Does it show how much of your total budget is committed vs. still available?
  • Can you add custom line items that are not in the pre-loaded categories?
