Wedding RSVP Tracker: Guest List Template with Follow-Up Strategy
An RSVP tracking template with columns for every guest detail, a follow-up timeline for late responses, headcount submission guidance, and a summary count section.
Guest List Tracking Template
Use one row per adult guest (not per household). Children under a specific age who share a parent's meal do not need their own row, but children with their own seat at the table should be tracked separately.
How to set up: Build this in a spreadsheet (Google Sheets, Excel, or similar) with one row per person. The columns below represent every field you need from invitation through final headcount submission.
| Column | Purpose | Notes |
|---|---|---|
| Guest ID # | Matches the number on the back of physical RSVP card | Prevents unidentified returns |
| Last Name | Sort by this for seating chart work | |
| First Name | ||
| Household / Party | Groups guests who arrive together | Used for escort card creation |
| Invitation Sent Date | Confirms when mail was sent | |
| RSVP Status | Attending / Not Attending / Pending | Update as responses come in |
| RSVP Received Date | Tracks who responded before vs. after deadline | |
| Attending Headcount | Number of seats needed for this guest/party | |
| Meal Choice | If caterer requires it: Chicken / Beef / Veg / etc. | |
| Dietary Restrictions | Allergies and preferences, distinct from meal choice | Critical for caterer submission |
| Plus-One Name | If different from the invited name | |
| Hotel Block | Yes / No / Booked | Helps with room block accuracy |
| Table Assignment | Fill in when seating chart is finalized | |
| Thank You Sent | Yes / No | Track post-wedding |
| Notes | Accessibility needs, late arrivals, anything special |
